Plan My Gap Year Program Terms & Conditions

Please read these terms and conditions carefully before applying to a PMGY program. They explain the basis on which Plan My Gap Year accepts bookings and provides pre-departure support in connection with volunteer and intern programs delivered overseas by third-party local partner organisations.

In these terms and conditions:

“You”, “your”, “participant”, and “individual” mean all people named on the booking form and any person added or substituted later.

“PMGY”, “we”, “us”, and “our” mean Plan My Gap Year.

“Partner organisation” means the overseas provider delivering the in-country program and support.

“Registration Fee” means the amount paid at booking to secure a place and cover PMGY’s pre-departure services.

“Program Fee” means the amount paid for the in-country elements of the booking.

The Registration Fee acts as your booking deposit and is usually non-refundable unless expressly stated otherwise in these terms. It goes largely towards PMGY’s pre-departure services, including but not limited to mentorship, pre-departure communication support, trip handbook access, webinars, eSIM with data where applicable, verification letters, administration support, and general booking management before departure.

The Program Fee covers the in-country experience and local delivery costs. This includes the services provided by the local partner organisation, which may include in-country support, accommodation, meals where stated on the program page, airport transfer where included, orientation, project placement coordination, and local staffing and administration. Only those items stated on the relevant program page or booking confirmation are included within the Program Fee.

By submitting an application and ticking the box confirming acceptance of these terms and conditions, you confirm that you have read, understood, and agreed to them.

PMGY acts as a disclosed booking agent for overseas partner organisations. PMGY provides the booking platform, pre-departure support, and booking administration. The in-country experience is delivered by the relevant partner organisation.

* These terms and conditions apply to all new applications and may be updated from time to time. Any changes will be reflected in the latest version available on our website.

Anyone who onboards onto a PMGY program after registering through a third-party platform, such as Volunteer World, will be bound by the same terms and conditions outlined below once their onboarding process has begun with PMGY. This is defined as the point at which the participant is sent their initial Welcome Email and the next steps associated with this.

Please note that any initial payments made to a third-party provider are not the responsibility of PMGY. Any queries or disputes relating to those payments must be directed to the original provider, not PMGY.

1. Travel Insurance

Travel insurance is mandatory for all PMGY programs.

It is your responsibility to arrange and maintain a suitable travel insurance policy that covers your full trip, including any travel before or after your PMGY program, any activities you intend to do, medical treatment, lost possessions, trip disruption, and cancellation.

We strongly recommend arranging an active policy as soon as you begin making financial commitments towards your trip. This includes your PMGY booking, flights, visas, and any other travel costs. Early cover is important because if an unexpected change in personal circumstances means you need to cancel, defer, or alter your plans, your insurance policy may be your main source of financial protection. Without an active policy in place, cancellation costs may not be recoverable.

PMGY cannot advise on the suitability of any insurance product. You are solely responsible for checking that your policy covers your destination, dates, activities, volunteer or internship placement, and any medical conditions or personal circumstances relevant to your trip.

2. Flights and Travel Arrangements

You are responsible for arranging and paying for travel to and from your destination unless PMGY has separately agreed to arrange flights on your behalf.

PMGY is not liable for airline cancellations, airline schedule changes, delays, missed connections, or boarding refusals caused by airlines, immigration authorities, or any third-party provider.

We recommend that you do not book flights, accommodation, or any additional travel arrangements until you have received your Welcome to PMGY confirmation email.

When booking flights, you should review the airline or agent’s terms carefully and consider flexible fares where available. If your plans later change, airline change fees, fare differences, or cancellation charges may apply.

If you choose a self-transfer itinerary, you do so at your own risk. You are responsible for transit times, baggage collection, re-check-in, transit visas, and missed onward connections.

Airport pick up is provided only where stated on the relevant program page and only when PMGY receives your confirmed flight details at least 21 days before departure. If you arrive outside the stated arrival arrangements, extra transport costs may apply.

You must provide fully confirmed travel details before departure. Standby flights are not accepted.

If your flight changes or is delayed during transit, you must inform the local team directly using the contact details provided to you. If the change happens more than 48 hours before travel, you should also inform your PMGY Program Manager.

If your transit route passes through a country where the FCDO advises against all but essential travel, this alone does not entitle you to a refund or credit from PMGY. In such cases, the standard terms continue to apply unless your final PMGY destination or the area where your program takes place is directly affected.

3. Applications and Acceptance

Submitting an application does not guarantee acceptance. All bookings are subject to availability and suitability.

The person making the booking confirms that they have the authority to accept these terms on behalf of everyone named on the booking.

To apply, you must pay the Registration Fee. Once your application is received, PMGY will liaise with the relevant partner organisation to assess availability and suitability.

If we are unable to offer you a place, we will normally contact you within two working days and will either offer an alternative date or program, or refund your Registration Fee in full.

If your booking relates to a school, college, university, or elective placement, it remains your responsibility to check that the PMGY program is suitable for your institution’s requirements. PMGY will do its best to assist with information and supporting documents where appropriate, but cannot guarantee that a program will meet all institutional or licensing requirements unless specifically confirmed in writing.

If a TEFL course or other online course is purchased and access credentials have been issued, that course will be non-refundable.

4. Criminal Background Checks

Where required by PMGY or the relevant partner organisation, you must obtain and submit an appropriate criminal background check at your own expense.

The document must usually be dated within 18 months of your program start date and must be submitted at least 21 days before departure, or within a reasonable timeframe for late bookings.

If you fail to provide the required document in time, PMGY may cancel your booking, and standard cancellation terms will apply.

If your criminal background check reveals behaviour that PMGY or the partner organisation reasonably considers unsuitable for the program, PMGY may cancel the booking. In such cases, the Registration Fee will not be refunded, and any further refund will be at PMGY’s discretion, taking into account the costs already committed.

5. Participant Criteria, Accessibility, and Medical Disclosure

You must meet the minimum age and any other stated requirements for your chosen program.

You must disclose in writing any physical health, mental health, medical, accessibility, mobility, dietary, or support needs that may affect your participation or require adjustments.

PMGY welcomes participants with a wide range of backgrounds and support needs and will always aim to explain honestly what support can reasonably be provided at each destination. However, due to the nature of overseas travel and the facilities used by local partner organisations, some destinations and placements may have practical limitations. These may relate to mobility, accommodation design, transport, staffing, medical access, or the nature of project work.

For this reason, early disclosure is essential. It allows PMGY and the local team to consider whether appropriate support or reasonable adjustments can be arranged. If relevant information is not disclosed before travel and this affects your ability to participate safely or appropriately, PMGY may need to amend or end your program, and standard cancellation terms will apply.

6. Prices and Payment

PMGY may update advertised prices before a booking is confirmed. Once your booking is confirmed by PMGY, the agreed booking price will be honoured.

The remaining Program Fee must be paid at least 60 days before your start date unless a shorter payment timeline applies because you booked close to departure.

Bookings made within 30 days of the start date must be paid in full.

Bookings made 31 to 62 days before the start date must be paid in full within three working days of confirmation.

If full payment is not received by the due date, PMGY may treat the booking as cancelled, and the standard cancellation terms will apply.

We accept credit and debit cards via Stripe. Please note that credit card payments from participants outside the UK & EU will attract a 5% admin fee to help cover additional bank fees PMGY incurs. We do not accept payments through online payment systems like PayPal.

7. Changes And Cancellations By You

Any request to amend or cancel a booking must be made in writing.

Changes requested more than 60 days before the start date may be possible, subject to availability and an administration fee, plus any supplier costs or difference in program price. PMGY will do its best to ensure changes are made with minimal disruption. Changes can be requested up to 60 days before your program start date. Any requests made within 60 days of the start date cannot be accommodated and will instead be treated as a cancellation. 

If you cancel more than 60 days before your program start date, you will lose the Registration Fee.

If you cancel 60 days or less before your program start date, or after the program has started, you will lose 100% of the Program Fee and Registration Fee, including paid add-ons.

If you need to cancel due to an unexpected change in circumstances, such as illness, injury, a family emergency, or another unforeseen event, we recommend submitting a claim through your travel insurance where applicable. This is why we strongly advise putting a policy in place as soon as you begin making financial commitments towards your trip.

If you have paid for a PMGY travel insurance policy and wish to cancel this, a pro-rata refund may be available.

If you choose to defer your trip to a later date, the original cancellation terms will still apply. This means that if you later decide to cancel, the applicable notice period will be calculated from the date you originally amended your booking, not the new start date.

8. Changes And Cancellations By PMGY

PMGY and the partner organisation reserve the right to cancel or amend a booking where reasonably necessary. This may be due to local safety concerns, operational limitations, government restrictions, partner organisation changes, or other circumstances outside of our control. In such cases, PMGY will review the situation carefully and, where appropriate, offer a suitable alternative such as revised dates, a replacement program, a credit, or a refund in line with this section. A “significant change” does not include a change of partner organisation, in-country location, transport or named accommodation.

If a program is cancelled by PMGY due to circumstances outside our control, any Program Fee and applicable add-ons paid will be refundable, excluding non-refundable services such as online Spanish lessons, TEFL courses, or flight-related inclusions. The Registration Fee will remain non-refundable but can be used as credit towards a future booking.

In determining the outcome, PMGY will consider the specific circumstances. Where the UK Foreign, Commonwealth and Development Office (FCDO) advises against all but essential travel to your chosen program area, a refund will be offered as outlined above. Where such advice is not in place, we may instead offer a credit or alternative arrangements, taking into account costs already committed locally.

If your travel route includes transit through a country where the FCDO advises against all but essential travel, this does not entitle you to a refund unless your final destination or program location is directly affected.

PMGY uses guidance from the FCDO, along with updates from local authorities and our in-country teams, as the primary sources when assessing safety and travel conditions. As participants join from across the world, decisions are based on conditions within the destination itself rather than individual departure points. Where local conditions are deemed unsafe or the program cannot operate as intended, we will act accordingly and communicate next steps as soon as possible.

Circumstances outside of our control, often referred to as force majeure, may include events such as war, the threat of war, civil unrest, terrorist activity, industrial disputes, pandemics, natural disasters, or significant operational disruptions. In these situations, we will always aim to act fairly and reasonably while balancing participant outcomes with the commitments already made to our local teams.

By joining a PMGY program, you acknowledge that the information provided on our website and in our materials offers a general overview of the experience. Programs are delivered in dynamic environments, and a degree of flexibility is required. Changes to partner organisations, in-country locations, transport arrangements, accommodation, project structure, or working hours may occur and are not considered significant changes.

Our programs are also influenced by local cultural conditions. From time to time, activities, staff availability, or aspects of the program may be affected by public holidays, community events, or unforeseen circumstances. In these situations, we reserve the right to make reasonable adjustments to the itinerary. While we will always aim to provide suitable alternatives where possible, refunds will not be given for such changes.

PMGY also reserves the right to update or change in-country partners where necessary to maintain or improve the overall participant experience. Any such decisions are made with the intention of ensuring the program continues to run safely and effectively.

Refunds agreed under these terms will be processed within 7 days of confirmation.

9. Premium Registration Fee

Participants may choose to upgrade to a Premium Registration Fee for certain programs at the time of booking, which offers enhanced flexibility in managing your trip. This includes the ability to make multiple free changes to your program prior to departure, a protected Registration Fee in the event you need to cancel, and a fully refundable Program Fee if you cancel up to 24 hours before your scheduled start date.

Changes can be made to your program dates, destination, or program type. If you choose to upgrade to a program or duration with a higher fee, the difference in cost will be payable by you. Equally, if you downgrade to a program or duration with a lower fee, the difference will be refunded, with no administration fees applied. All changes remain subject to program availability.

Where the Premium Registration Fee has been selected, the terms outlined in this section will override the standard cancellation policy. Should you wish to cancel or amend your dates, requests must be received in writing at least 24 hours prior to your program start date. Requests made within 24 hours of the start date, or after your program has commenced, will not be eligible for any refund in the event of cancellation or curtailment. The Program Fee refund applies to the core program cost only and excludes any additional add-ons or flight inclusions.

The Premium Registration Fee must be selected and paid for at the point of purchase, at the end of your original application, and cannot be added retrospectively once your application has been completed. The Premium Registration Fee and associated benefits apply only to the individual booking for which this option has been selected and are non-transferable to another individual. The Premium Registration Fee itself is non-refundable, and once selected, it is not possible to downgrade to the standard Registration Fee after your application and payment have been finalised.

Any applicable refunds will be processed via the original payment method unless otherwise agreed.

10. Visas, Vaccinations, and Travel Entry Requirements

Any visa, vaccination, or destination information provided by PMGY is given in good faith for general guidance only.

You remain responsible for checking the correct visa, passport validity, health, and entry requirements for your nationality, route, and destination. This includes any transit requirements.

PMGY is not responsible for losses caused by visa refusal, delayed visa processing, passport issues, missing documents, vaccination requirements, or immigration refusal.

11. Safeguarding

PMGY is committed to safeguarding children and vulnerable adults across all of its programs.

Participants must behave appropriately at all times and follow all safeguarding instructions, local project rules, photography rules, and boundaries set by the local team and partner organisation.

Any conduct that places a child, vulnerable person, or local community member at risk, or which breaches safeguarding standards, may lead to immediate removal from the program without refund.

Where required, PMGY may share relevant safeguarding information with local partner organisations or appropriate authorities to protect participants and others.

12. Code of Conduct

Participants are expected to act responsibly, respectfully, and lawfully throughout their trip. This includes respecting local customs, accommodation rules, project schedules, safeguarding requirements, health and safety guidance, and the instructions of the local team. Illegal substances are strictly prohibited, and any serious misconduct, repeated unsafe behaviour, violence, harassment, abuse, or actions that place yourself or others at risk may result in your program being ended without refund. Where appropriate, PMGY and the local team will aim to address minor concerns informally, although this will depend on the nature and seriousness of the situation.

PMGY is fully committed to responsible volunteer travel and sustainable tourism. Our Code of Conduct is designed to help you make the most of your experience while ensuring it is carried out safely, respectfully, and in a way that supports the communities and organisations we work with. As part of your participation, you will be required to review, agree to, and adhere to the Code of Conduct outlined below before departure.

Participant Responsibilities and Acknowledgements

• I agree that I will not hold PMGY (including all employees, shareholders and partner organisations) liable for any loss or harm I may suffer including loss caused directly or indirectly by personal injury, emotional injury, death, illness or disease, damage to or loss of property.
• I agree that I have declared any medical/mental health conditions or physical limitations which may affect my ability to partake in the overall experience fully.
• I agree that I will put in place a suitable travel insurance policy for the duration of my trip overseas. I have assessed the level of cover I require and have insured myself against all the activities I plan to partake in while abroad. I have ensured that all my travel dates have insurance cover including any travel before the PMGY program or onward travel planned.
• I agree that I do not have a criminal background and have never engaged in any illegal activities. This will be outlined in an official document provided by myself at least 21 days before I travel.
• I acknowledge that PMGY will do their best to cater for dietary requirements, but ultimately, I am responsible for communicating any dietary requirements to PMGY and recognising when I may need to bring/purchase individual ingredients at my own expense to ensure I police my requirements.
• I agree that weekends are my own time for independent travel. When travelling, I acknowledge and respect that I am signed out of the PMGY program until I return to the participant accommodation after weekend travel and thus responsible for my safety and well-being and will manage any accidents or incidents that may occur at this time.
• I recognise that I joined PMGY as a member of the public on this experience. Therefore, Employer Liability does not cover me as I am not considered a PMGY employee on the trip(s).
• I accept I am not covered for any personal liability that I incur on the program such as medical malpractice or injury to others.
• I agree that it is my responsibility to read the entry requirements and visa regulations for my chosen PMGY destination(s). In doing so, ensuring that I have all trip documents and vaccination requirements (if applicable) to obtain the relevant visa and entry.
• I agree that I am responsible for ensuring I have sufficient money and access to funds for the duration of my trip. This includes arranging access to emergency funds if required without the involvement of PMGY.
• I agree that any trip and/or excursion arranged through a third-party provider does not fall under the responsibility or liability of PMGY.
• I agree not to enter the sea/open water at any time on my trip with PMGY unless on an organised project/excursion under the supervision of a qualified local guide and/or lifeguard. On such a basis, I recognise myself to be a confident swimmer.
• I agree to report to local staff immediately and inform them of any animal scratches/bite that occurs. In turn, I am prepared to obtain post-exposure treatment as soon as possible and cover any costs involved in this.
• I agree that I will not drink excessive levels of alcohol overseas that could impede my overall judgement and safety.
• I agree that PMGY has a zero-tolerance policy towards the possession and use of illegal substances which will result in an instant termination.
• I acknowledge any breach of the Code of Conduct can result in potential disciplinary action and ultimately termination of the program with no refund or onward support applicable. Should I choose to leave the program early for whatever reason then PMGY are not liable for any refunds for unused time/expenses or for onward costs.

General Code of Conduct

I agree to:

• Follow the appropriate dress code as outlined by the local team and in line with local culture. This extends to dressing appropriately when in the volunteer accommodation and within the local area.
• Maintain a positive and proactive approach through my experience including towards my project commitments.
• Follow the project schedule provided by project staff or the in-country team.
• Respect the rules and/or local requirements when travelling by PMGY-arranged transport. For example, acknowledging it is my responsibility to wear a seatbelt where applicable.
• Recognise the risks of travelling by public transport at any time on a PMGY trip. PMGY are not responsible for the loss of valuables and/or any situations which may occur when opting to travel by transport not arranged by PMGY.
• Assess the risks of every activity I am involved in and seek further advice or guidance if in doubt. I will only source activities and excursions through reputable third-party providers.
• Ask permission from the project staff if I want to take any photos/videos of children/adults at the project location.
• Respect, and seek to understand, the culture of the country in which I am joining PMGY.
• Read the Volunteer Handbook/s in detail to ensure I have a good understanding of what my chosen PMGY destination and program entails.
• Understand and adhere to any safety recommendations given to me by the local team.
• Inform the local team of any medical issues, which may arise during my time in- country.
• Recognise that each destination will have its individual set-up should I join multiple trips with PMGY. This extends to different ways of communicating, varying levels of intensity in the volunteer work and contrasting structures of local support. I acknowledge each destination will come with its own experience and to not carry expectations from one destination to the next.
• Speak to the local team directly in the event of any issues or complaints while in- country. Doing so in a timely manner, aiming to resolve the issue efficiently and continue the program for the duration intended.
• Not engage in any sexual relationships with any project staff, local team members or local members of the public.
• Abide by the laws of my chosen destination and recognise that seemingly small offences can have a severe punishment.
• Ensure I have sought professional medical advice regarding any potential vaccinations/anti-malarial medication required.
• To attend my project every day unless ill or unfeasible to attend.
• Keep in regular communication with family and friends back home throughout my trip.
• Recognise that HIV exposure risks can exist across some countries. I will follow the protocol of the local staff, look to ensure my own safety and wellbeing and take responsibility for establishing which children/adults are at risk.
• Not to rent/hire/use any motorbike/moped for the duration of the program. This extends to not using motorbike/moped taxi services as a means of local transport or guide-led excursions.

Accommodation Code of Conduct

I agree to:

• Respect local customs and abide by the rules of the accommodation in which I am staying. This includes any dress code policy that may be in place across the accommodation.
• Not inviting any outside visitors back to the accommodation.
• Be aware that there are no refunds if I decide to go on an independent trip or leave early.
• Maintain high levels of hygiene and cleanliness at all times.
• Be vigilant with my possessions and use safes/lockers to store any valuables where appropriate and will not hold PMGY responsible for any losses incurred.
• Respect local policies on the consumption or possession of alcohol. This may include a zero-alcohol policy at the volunteer accommodation.
• Respect and abide by any curfews within the volunteer accommodation. This extends to keeping noise levels down after a reasonable time in the evenings.
• Allow the use of CCTV recording within the communal and/or external areas of the volunteer accommodation for the benefit of my safety.
• Not consume alcohol in the event I am under the legal drinking age at any time whilst on the program. (Please note this can vary between 18-21 across PMGY destinations).
• Abide by any rules laid out by the local team for entering and using an on-site swimming pool (if applicable). In doing so, recognising I am a strong and confident swimmer and never enter the pool by diving and/or after consuming alcohol.
• Acknowledge and respect that outside of traditional program/working hours (unless there is an emergency) the in-country support teams have their own livelihoods and independent downtime.

Medical & Mental Health program Code of Conduct (If applicable):

I acknowledge that I have committed to a medical experience designed to be an internship style whereby I receive an observational and learning exchange program with local healthcare professionals in a medical setting.

I understand there are inherent risks of participating in a medical experience within a healthcare system in a developing country. These variables are often outside of the control of PMGY due to the third-party nature of the projects. I recognise that I am responsible for ensuring I adopt the appropriate PPE measures and safety precautions each day I attend placement.

I recognise I have decided to participate in a medical setting alongside local healthcare professionals. Such staff members may have limited English and adopt busy working schedules. I acknowledge that placement start times may be delayed and logistics and communication can be challenging because of this.

I understand that PMGY does not promote and/or guarantee hands-on experience at the medical projects. Any hands-on opportunities which may present themselves will be determined by my experience (if any), and the discretion of the medical professionals I am working with.

I agree that PMGY does not hold any responsibility or liability if I decide to engage in hands-on activity when at the project. This is a decision ultimately made by me if authorised to do so by the medical team. Any outcomes or potential consequences because of carrying out hands-on work and procedures at the project will be my direct responsibility and liability.

I agree to report to local staff immediately and inform them of any needle stick injury that occurs. In turn, I am prepared to obtain post-exposure treatment as soon as possible and cover any costs involved in this.

Wildlife program Code of Conduct (If applicable):

I understand that as a wildlife participant, I will be working with a variety of potentially dangerous animals and wildlife. I assume all risks associated with volunteering but not limited to, the risk of injury or disease transmission from the animals and wildlife.

I understand that there is always a risk of injury and/or property damage involved when working with wildlife, especially during activities related to rescuing, handling, transporting and rehabilitating wildlife, and I agree to assume all such risks.

I understand that I am responsible for any vaccinations I may choose to obtain in advance of my trip as well as assessing my own personal risks when potentially handling wildlife on-site at the project.

12. Complaints Procedure

If you are unhappy with any aspect of your program, you should raise the matter with the relevant local coordinator as soon as possible so that the issue has a fair chance of being addressed in-country.

If the issue is not resolved locally, you should email your PMGY Program Manager as soon as reasonably possible, setting out the issue and the steps already taken.

Formal complaints should normally be submitted by email within 7 days of the issue arising, or within 7 days of the end of your program if the matter could not reasonably be raised during the trip.

Late complaints may still be considered, but PMGY may be limited in what it can investigate or resolve if the issue was not raised in a timely way.

By raising a complaint, you agree that PMGY may share relevant details with the local partner organisation where reasonably necessary to investigate and respond.

Refunds or other resolutions agreed upon following a complaint will be processed within 7 days of confirmation.

13. Risk Acknowledgement and Liability

By booking a PMGY program, you acknowledge that overseas volunteer and internship travel can involve different standards, environments, infrastructure, transport, healthcare access, accommodation, and cultural practices from those in your home country.

You accept that travel and participation involve a degree of personal risk.

Nothing in these terms excludes or limits any liability that cannot legally be excluded under the law of England and Wales.

Subject to the above, PMGY will not be responsible for losses that arise from events outside its reasonable control, the acts or omissions of third-party providers where PMGY acts only as a booking agent, your own acts or omissions, or risks inherent in travel and volunteer participation that were clearly explained to you or are obvious in nature.

PMGY does not accept responsibility for independent travel, independent excursions, or arrangements made directly with third parties or local providers outside your original PMGY booking. This includes extending your time overseas directly with the partner organisation and not through PMGY.

14. Data Protection

PMGY processes personal data in accordance with UK GDPR and the Data Protection Act 2018.

Your information may be used for booking administration, pre-departure support, customer service, safeguarding, legal compliance, and, where permitted, marketing. You can opt out of marketing at any time.

To deliver your booking, PMGY may need to share relevant personal data with partner organisations and service providers, including providers located outside the UK. Where this happens, PMGY will take reasonable steps to ensure that appropriate protections are in place.

If you provide reviews, feedback, photographs, or videos to PMGY, or tag PMGY in public social media content, we may use that content for promotional purposes unless you ask us not to.

15. Governing Law

These terms are governed by the law of England and Wales, and any dispute will be subject to the jurisdiction of the courts of England and Wales, unless another mandatory consumer right applies.

Plan My Gap Year Flights Terms & Conditions

PMGY acts as a disclosed agent for third-party flight providers and booking agents. Details of the travel supplier will be provided on your flight booking invoice.

All flight bookings are subject to the airline’s or ticket provider’s own terms and conditions, including those relating to cancellations, amendments, refunds, and baggage allowances. In most cases, flight tickets are non-refundable, and you should assume this to be the case unless the airline’s fare rules clearly state otherwise.

When booking flights through PMGY, reasonable adjustments may occasionally be made between the initial quote and final ticketing due to live availability. This may include minor changes to routing or timings, while maintaining the same overall origin and destination.

Minor schedule changes can occur at any time, both before and after ticketing, due to operational requirements, weather conditions, or air traffic control restrictions. PMGY will inform you of any such changes as soon as reasonably possible.

If a significant change occurs before travel and is not caused by circumstances outside reasonable control, PMGY will work with the airline or supplier to seek a suitable alternative flight or any refund available under the airline’s policy. A significant change typically refers to a change in departure airport or a change of more than 12 hours in departure time.

If a flight is disrupted due to circumstances outside reasonable control, including events classified as force majeure, PMGY cannot guarantee a refund unless the airline or supplier authorises one. In such cases, we will use reasonable efforts to obtain any refund or alternative option available, but outcomes are subject to the airline’s policies.

Full payment is required at the time of booking for any flights arranged through PMGY. We accept payment via BACS transfer, credit card, or debit card. Please note that credit card payments made by participants outside the UK and EU will incur a 5% administration fee to cover additional bank charges. We do not accept payments through online payment platforms such as PayPal.

Any applicable refunds will be processed either by bank transfer or returned to the original payment method. Please note that not all elements of a flight ticket are refundable, and any tax refunds will be processed in line with the airline’s own refund policy.

You are responsible for ensuring that all passenger details are accurate at the time of booking, including that the name on your booking matches your passport exactly. You are also responsible for ensuring you meet all passport, visa, transit, health, and entry requirements for your journey. This includes any required visas, transit visas, or proof of vaccination where applicable. As entry requirements can change, you should check with the relevant embassy well in advance of travel. PMGY cannot be held responsible if you are unable to travel due to incorrect or missing documentation.

Flight times are provided in local time and are subject to change. It is your responsibility to check your flight details directly with the airline prior to travel and complete online check-in where required.

If you do not check in for your flight or miss your departure, you will not be entitled to a refund from PMGY. In such cases, you should contact your travel insurance provider to explore any potential claim.

Airlines may operate flights through codeshare agreements, meaning your flight may be booked with one airline but operated by another. PMGY is not responsible for any changes arising from such arrangements.

Baggage allowances, onboard services, seat selection, and any additional services are determined by the airline. Airlines may charge additional fees for services such as checked baggage, meals, entertainment, or preferred seating. It is your responsibility to confirm these details directly with the airline and arrange any additional services required after booking.

Where a flight itinerary includes multiple sectors, failure to use one part of the journey may result in the cancellation of subsequent flights by the airline. PMGY cannot accept responsibility for any costs incurred as a result.

Under European law, you may have rights to refunds or compensation from the airline in cases of denied boarding, cancellation, or delay. Any such reimbursement is the responsibility of the airline. If your airline does not comply with these obligations, you may contact the relevant aviation authority for further guidance. Any refunds agreed will be processed within 7 days of PMGY receiving the refunded amount from the airline or supplier, unless processed sooner.

By booking flights through PMGY, you agree that your personal information may be used for booking administration, customer support, and communication purposes in line with UK GDPR and the Data Protection Act 2018. Where necessary, this information may be shared with relevant service providers to facilitate your booking. You may opt out of marketing communications at any time.
